Administrator and Box Office Manager

Reports to Executive Director

  

The Boulder Chorale announces an opening for “Administrator and Box Office Manager.” This position is expected to begin in mid-June. To apply, please submit a resume and cover letter to Ethan@BoulderChorale.org by May 1 with the subject line “Admin Application.” 

 

SUMMARY

The Administrator is responsible for providing support essential to the function of organizational management. This includes but is not limited to box office, database, communications, and social media management as well as office management and direct support to the executive and artistic directors.

 

This is a part-time hourly position, with no benefits provided. The expected pay rate is $14 an hour. The expected time commitment is approximately 8 hours per week some of which must be in the Chorale office. Additional hours may be required on concert weeks (approximately six times per year).

 

ESSENTIAL JOB FUNCTIONS

Administrative Support

  • Work with Registrars to develop and maintain choir registration process. Provide reports and information when necessary.
  • Collaborate with Artistic Directors and Social Committee Chair to schedule auditions and maintain the audition process including communicating results to auditionees and staff.
  • Process incoming donations, enter into database, and produce acknowledgement letters for staff and board.
  • Maintain ASCAP and BMI compliances and registrations.
  • Prepare materials for distribution as directed by staff.

Box Office and Data Management

  • Work with Executive Director to maintain online ticket system. Track historic and current ticket data.
  • Manage ticket sales at the door and work with usher captain to manage the front of house.
  • Work with Executive Director to manage database. Regularly provide and update mail and email lists.

Communications

  • Manage email marketing system including cultivating distribution lists as well as building and scheduling emails as directed by staff.
  • Create and distribute weekly singer e-announcements for adult choir.
  • Maintain website with Executive Director and IT Committee.
  • Work with other staff to cultivate social media presence.
  • Create and distribute press releases with Executive Director.
  • Publish and distribute annual newsletter with staff and board.
  • Post organization events to online and print calendars.

Office Management

  • Maintain specific office hours to be scheduled with the Executive Director.
  • Check voice mailbox regularly and return or redirect calls promptly.
  • Process Mail.
  • Maintain general Chorale email address and redirect e-mail as appropriate.

Other Duties as assigned.

 

REQUIREMENTS

  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint and other Windows applications.
  • Knowledge of ticketing operations and accepted accounting and record keeping practices related to ticket selling.
  • Knowledge of and familiarity with arts organization and/or non-profit management.
  • Ability to work independently, prioritize and handle multiple tasks, and adapt quickly to changes.
  • Strong attention to detail.
  • Ability to accommodate a flexible schedule, including evenings, weekends, and holidays.
  • Good problem solving and strategic thinking skills.
  • Ability to work with multiple individuals and organizations proactively and professionally.

Education:  Bachelor’s degree in business, arts, or non-profit management and 3 years of experience in administrative position OR, any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
