Reports to Executive Director

SUMMARY

The Administrator actively curates and disseminates information essential to the functioning of the Boulder Chorale. Data arrives from a variety of sources, in different formats, and in various states of organization. The Administrator collects the information, enters it into one of many systems, shares it with those who need it, and/or stores the data to recall when needed. The Administrator leads the team responsible for ticket sales and staffs the box office at concerts.

This is a part-time hourly position, with no benefits provided. The expected time commitment is approximately 8 hours per week some of which must be in the Chorale office. Additional hours may be required on concert weeks (approximately 6 times per year).

ESSENTIAL JOB FUNCTIONS

Administrative Support

  • Collaborate with Artistic Directors, Executive Director, and Social Committee Chair to schedule auditions and maintain the audition process.
  • Process incoming donations and curate a database of donors and ticket buyers.
  • Maintain ASCAP and BMI compliances and registrations.
  • Prepare materials for distribution as directed by staff.

Box Office and Data Management

  • Work with Executive Director to maintain online ticket system.
  • Track historic and current ticket data.
  • Manage ticket sales at the door and work with usher captain to manage the front of house.

Communications

  • Cultivate distribution lists.
  • Create and distribute weekly singer e-announcements for adult choir.
  • Maintain website with Executive Director and IT Committee.
  • Proofread public communications.
  • Publish and distribute annual newsletter with staff and board.

Office Management

  • Maintain specific office hours to be scheduled with the Executive Director.
  • Check voice mailbox regularly, return or redirect calls promptly, update outgoing message.
  • Maintain general Chorale email address and redirect e-mail as appropriate.

Other Duties as assigned.

ORGANIZATIONAL INFORMATION

The Boulder Chorale’s mission is to enrich and inspire a broad community through music. We value musical excellence, music education, community, collaboration, and organizational vitality. We maintain six choirs – two for adults and four for children – that meet weekly and involve approximately 200 singers.

The organization is in its 52nd year and has employed non-artistic staff for ten years. We are a small, welcoming staff that works largely independently with a lot of online communication and a small office/storage space at the church where the choirs rehearse.

Our 13-member Board of Directors is made of singers, parents of singers, and some community members. They are a hands-on board that take direct responsibility for managing some aspects of our organization. As a result, staff are in direct contact and work together with board members.

REQUIREMENTS

The right person for this job will be a smart, self-motivated, quick learner who efficiently manages a large task list. Attention to details and the ability to communicate information clearly and concisely is extremely important. This person should be very comfortable using Google Drive collaboratively. In addition to standard computer skills (Word, Excel, Google Drive), this person will have the ability to quickly explore and learn new software systems. This person will also have a critical eye for everything from proofreading to improving operations.

  • Bachelor’s degree in business, art, or nonprofit management or equivalent experience
  • Excellent verbal and written communication skills.
  • Knowledge of ticketing operations and accepted accounting and record keeping practices related to ticket selling.
  • Knowledge of and familiarity with arts organization and/or nonprofit management.
  • Ability to accommodate a flexible schedule, including evenings and weekends.
  • Strong problem solving and strategic thinking skills.
  • Ability to work with multiple individuals and organizations proactively and professionally.
