Development Associate Position Description

 The Dairy Arts Center is the leading multi-disciplinary arts center in Boulder. Our 42,000 square foot facility houses three theaters, four visual art galleries, a spacious lobby, full concessions, 65-seat cinema, 3 ballet studios, and 26 music studios. We also provide professional management to more than 100 local arts organizations including ticketing systems, box office services, building maintenance, theatrical support, concessions and venue rentals.  

The Dairy Arts Center’s mission is to provide diverse opportunities to create, learn, and engage in high quality performing, cinematic, and visual arts experiences. Dairy Presents provides its own programming and includes: Music at the Dairy, rotating Visual Art exhibitions, Kids at the Dairy arts education program, Comedy at the Dairy, and a full slate of independent films screened in our art house cinema.

 We are looking to hire a full-time, salaried Development Associate to join our team. 

Start date:  August 12, 2019 or to be determined

 Overview of Position

Reporting to the Development Director, the Development Associate is a key administrative position ensuring the Executive Director, Development Director and Board members have what they need to be successful in their efforts to increase financial resources.  You are part of a two-person development team.  The Development Associate will develop systems, research prospects and ‘set the table’ to cultivate prospects, steward donors and close gifts. The Development Associate will also work as a staff liaison with the Board of Directors Development committee scheduling meetings, taking notes and reaching out to committee members.  This is a fast-paced environment, with most of your time spent in the office at the Dairy and the ability to take initiative and organize your work is critical.

 This role provides the important administrative support to the organization’s development office including tracking of gifts, heavy database entry and reporting, sending out thank you letters with 48 hours, tracking membership renewals, grant research, and writing with careful attention to detail.  High levels of communication to Development Director, Committee members and internal staff is imperative.

 

This position uses tracking systems to ensure reporting of all contributions, timely thank you and gift receipts, and all projects are done on time and accurately.  You will manage your calendar and the Development Directors, have timely responses to e-mails, phone calls and be a customer service point of contact for donors and members. 

 Experience

In this position it is important that you fully support the Dairy Arts Center mission and are enthusiastic about the role the arts play in our community.  You will need to be:

  • Very detail oriented, database maintenance and data entry are key
  • Some prior fundraising or event experience helpful, but enthusiasm and attention to detail are critical
  • Loves to research and find things out (prospect research)
  • Enjoys building systems to keep track of the things
  • Knows how to build a relationship via phone or email, excellent customer service
  • Great memory for detail
  • Excellent letter writing and general writing skills
  • College degree or equivalent experience such as, sales, customer facing positions, with heavy administrative experience, database entry, Excel, Microsoft Office expertise are a must.

 Grant Writing

This position will be responsible for tracking, drafting and reporting on all grants.  Attention to detail to comply with grant deadlines is critical.   Organized, attentive to detail, and the use of concise, persuasive writing to request funding for an organization’s programs. 

 Special Events

The Dairy Arts Center has a series of special events throughout the year to raise money for their programs, but also to increase the organization’s visibility and provide opportunities for current and potential donors to interact with the organization.  Events range from annual gala, donor cultivation, tours of our facility, etc.  As Development Associate you will be responsible for carrying out many tasks related to our special events, this include the details, organization and tracking of details, creating nametags and ensuring smooth check-ins at events, tracking sponsors and creating sponsor contracts.
